Practical invitation guide

Invitation wording that gives guests the details they need

Good invitation wording is warm, specific and easy to scan. Guests should understand what is happening, when to arrive, where to go and how to reply without having to ask the host.

Start with the essential sentence

Name the hosts or guests of honour, state the occasion and use a direct invitation. A useful starting pattern is: “Please join us to celebrate [occasion] with [name or names].” Keep formal language for events that call for it and conversational language for relaxed gatherings.

Put practical details in reading order

Follow with the date, arrival time, venue name and full address. Then add the RSVP deadline and response method. Dress, access, parking, gifts, meals and schedule notes come after those essentials.

Adapt the words, not just the occasion name

A wedding ceremony, school fundraiser and memorial gathering need different tone and information. Use the relevant event page as a starting point, then check names, local language and customs with the people involved.

Put it into practice

Choose an occasion-specific starting point, edit every word and check the final invitation as a guest would see it.
